LexWIN: Instructions for Sample Program DATABASE OPTION LexWIN will automatically find a database called "loc.fil" provided for test purposes. BASIC SEARCH SCREEN Most searches will likely be done with "start new search" and "type in your search" selected. In this mode the following searches are all valid: cat a=Salinger [author] cat or dog t=Catch the wind [title] dog and pet c=636.6 [call number] cat or pet not (fiction or dog) s=allergy [subject] START WITH LAST SEARCH/OLD SEARCH If you select "start with last search" then your old search will be on the left, and you can then select a Boolean word such as "and" and type the rest of your search on the right, as in: Cat and pet or care or vet If you select "start with old search" you can pick the earlier search you want to start with. BROWSE THE INDEXES First of all, click on "using the...index", and select the index you wish. For this example we will use the word index. You can then start your index search by typing in an entry, such as "drug," in the box marked: Browse the word index at drug At that point you can see the "drug" and "drugs." So that you can select both, click on "select multiple". If you select "search immediately" clicking on drug will initiate a search. With "select multiple" you can click on "drug" and "drugs" before searching. In the sample database this will bring up one hit, that has both words in it. ADDING YOUR OWN RECORDS (CATALOGUING) We suggest you start off by using Edit--Quick cataloguing Just enter in ISBN to start. If you don't find a record enter in as much information as you can find from the item in hand. When you have mastered this, graduate to the Down arrow icon Now you can select the libraries you want to download from. If you know MARC (machine readable cataloguing) you are then able to use Edit--Append Record. Search for MARC on the internet to understand this standard system. MENU COMMANDS Pull-down menus are described briefly below. The full manual is needed to understand them more adequately. FILE MENU Open database: LexWin can open many databases, and you can move between them effortlessly. Open: You can select a main or alternate database if one has been created. You can open your patron file, or create a brand new item database. View file: Use to simply examine document and MARC (Cataloguing) files Save/Export: Saves a variety of screen and MARC formats Exports in comma-delimited format Transfer: Moves records to another database Print: Prints a variety of record formats and ranges Highlight items in a list or bibliography and print in formats as per dialog box. Print setup: Select printer and chose print options. Exit: Close the program. VIEW Data prop: View the file and index sizes System rep: Provide a technical report for troubleshooting Home: Go to the first record in search set View logs: View a variety of transaction reports for troubleshooting Prev/next: Use to advance or go back on record List: The default format, one record per screen line Bibliography: Records in hit list formatted according as a bibliography with call numbers added Display: One record per page, with field headings added MARC: Machine readable cataloguing, all catalogued data shown TOOLS Password: Set or remove passwords Inventory: Take inventory by scanning barcodes Duplicates: Analyze and eliminate duplicates in file Dup. bar.: Edit the occurrences of duplicate barcodes Statistics: Information on your databases and indexes Backup: Save copies of all your data files Restore: Return backups to active status Update ind.: Index newly added material Immed. ind: Set system to automatically index Pack global: Eliminate waste space, re-index database and enable global changes to be made Options: Screen font setting, printer fonts, total configuration of system, select browser for the Internet, Cleanup files (deleting old files) EDIT Append rec: Add new record *See "EDIT/APPEND" Below Edit rec: Alter existing record Undo: Reverse data change Cut: Remove highlighted data to buffer Copy: Copy data to buffer Paste: Deposit data from buffer New line: Insert new line for data Clear line: Wipe all data area clean Delete: Remove character on the right WINDOW Cascade: Windows are on top of one another Tile: Windows are in non-overlapping boxes Arrange icons: Close all: Closes all the search windows Go back: Returns to the previous search Go forward: Goes forward to more recent search Search hist: Displays search sets for selection Clear/restart:Removes searches, provides new search screen Search data: Brings up a search screen, leaves history Find a word: Searches for text in record Find next: Continues search above HELP Contents: Help by menus (not developed) Using help: Indexed help (not developed) Online help: Go to web help file (archive) Email help: Bring up mail program to email us Online update:Go to web site to download update About: Learn your program version ICONS (Moving Left to Right) Highlight an icon for an instant and you will see a small window telling you the function. These will be reviews left to right Open Main Open the default database Open Alternate Open a new database you created Open Patron File Open the database of people you loan to Input/Import Receive MARC records or other forms of data Transfer Move a record from one database to another Save/Export Save a MARC record, or export it in other formats Print Print data in a variety of formats Contents See HELP file contents Go Back Go Forward Return to old search, go to newer search Clear Remove search history Search Bring up fresh search screen Circ Go to CIRC module Forward Back Arrows Go forward one record in a set, or back. Go to beginning of search set or end. CIRCULATION MODULE Before testing, click on the "Blue P" in menu line. Click on "select all records" and "by ID". Note names and ids of patrons. Do the same thing for items, by clicking on "M" for "main database", search "select all items by barcode". Note some item barcodes. Click on the "red right arrow" to enter CIRC. When at the circulation screen, you will automatically be in checkout mode. Type in a known patron id. The cursor will jump down to "item id". Enter item id to checkout. To check an item in, select "checkin." Then enter an item barcode that was checked out. Checkouts Once you know some patron names, try checkouts using portions of names, or phone numbers. Try words from title or author names for items. To return to the Search screen, strike one or two times, or click on the flashlight icon. Holds Click the "hold" button and enter a patron id and the barcode of an item currently out. Remove Click the "remove" button and the id of a patron or the barcode of an item. The patron or item will be removed. Display Click "display" and then a patron id and you will see a personal record of current transactions. You can checkin items from this screen, pay fines, etc. Edit/Append You can add new patrons or new items from the CIRC screen, use the "edit/append" button. Use the "escape" button to clear the screen area, then hit "edit/append" to add a new item or patron. For patron put in at least an id and name, for item at least a barcode and title. More about "edit/append" is given below. Internal Checkout Click this item and you can increment "loan statistics" by one without charging out an item. This can be used prior to reshelving items left on table tops etc. Circ Utility Commands You can access the top taskbar on your screen under "Circ". The "reports" will provide you overdue notices or "lists by class" needed to remind patrons of overdues and/or fines. EDIT/APPEND from Search Screen These two screens differ only that an EDIT is carried out on an existing record. Use the buttons M or P to open the "Main" or "Patron" files. Experiment with APPEND for items first. Click on the CATUB buttons on top to get help screens in completing CALL AUTHOR TITLE URL (For Direct access to web addresses) BARCODE (For placing holding info on each copy) Right-mouse click on the field names for getting additional help on use of fields, adding and moving fields, etc. If you are used to dealing with MARC tags you can turn them on with "Reveal tags and subfields" INVENTORY >From the main taskbar click on TOOLS-INVENTORY to see the main screen for that function. This is too complex a function to explain briefly, but the key is to follow the onscreen helps, using the buttons on the left from top to bottom. Inventories can be done of the whole collection or by ranges of call numbers.
